Terms of Service

1. About These Terms

These Terms of Service (“Terms”) govern your use of The Clubhouse platform (“Service”), operated by The Collective Software Ltd, a company registered in Northern Ireland, United Kingdom (“we”, “us”, “our”).

By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

2. The Service

The Clubhouse is a golf society management platform that provides tools for fixture scheduling, scorekeeping, leaderboards, handicap tracking, committee governance, competitions, and treasury management. The Service is available as a web application and progressive web app (PWA).

3. Accounts

To use the Service you must create an account with a valid email address and password. You are responsible for maintaining the security of your account credentials. You must not share your login details with anyone else.

You may belong to multiple golf societies (organisations) within the platform. Each organisation is managed independently by its own administrators.

4. Free to Use

The Clubhouse is free to use for golf societies and their members. There is no subscription fee or recurring charge for accessing the platform.

When a society uses our integrated payment features (powered by Stripe), a small platform fee is applied to each transaction. This fee is clearly displayed before any payment is confirmed. Stripe’s own processing fees also apply and are set by Stripe.

5. Payments & Stripe

Payment processing is provided by Stripe and is subject to Stripe’s Connected Account Agreement, which includes the Stripe Terms of Service. By using our payment features, you agree to be bound by those terms.

Society administrators who set up payment collection connect their own Stripe account. We do not hold or have direct access to society funds. Refund policies are managed by each society’s administrators.

6. Your Content

You retain ownership of any content you submit to the Service, including profile information, scores, photos, and messages. By submitting content, you grant us a licence to store, display, and transmit it as necessary to operate the Service.

You must not upload content that is unlawful, offensive, or infringes the rights of others. We reserve the right to remove content that violates these Terms.

7. Society Administration

Each society on the platform is managed by its administrators, who are responsible for:

  • Managing membership and invitations
  • Setting up fixtures and competitions
  • Configuring payment collection
  • Moderating content within their society

We are not responsible for decisions made by society administrators, including membership decisions, fixture arrangements, or financial management.

8. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to gain unauthorised access to the Service or other users’ accounts
  • Interfere with or disrupt the Service
  • Use automated tools to scrape or extract data from the Service
  • Impersonate another person or organisation

9. Availability & Changes

We aim to keep the Service available at all times but do not guarantee uninterrupted access. We may update, modify, or discontinue features of the Service at any time. We will endeavour to give reasonable notice of significant changes.

10. Limitation of Liability

The Service is provided “as is” without warranties of any kind, whether express or implied. To the fullest extent permitted by law:

  • We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service
  • Our total liability for any claim relating to the Service shall not exceed the amount you have paid us in the 12 months preceding the claim (if any)
  • We are not responsible for the accuracy of scores, handicaps, or leaderboard calculations — these are tools provided for convenience

11. Termination

You may delete your account at any time by contacting us. We may suspend or terminate your access to the Service if you breach these Terms, with or without notice.

Society administrators may remove members from their society at their discretion.

12. Governing Law

These Terms are governed by the laws of Northern Ireland, United Kingdom. Any disputes shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.
